RE&F Accessibility & Inclusivity Program Manager


This is a Full-time position in Redmond, WA posted December 1, 2021.

The Microsoft Global Workplace Services Team is focused on enabling every person and every organization at Microsoft to achieve more through the delivery of exceptional workplace environments and services that foster collaboration, inspiration, and productivity.

Within the Global Workplace Services (GWS) team, we have a function dedicated to driving the best possible outcome across our PLATFORMs
– construction project management, employee experience and related site services, sustainability, accessibility & inclusivity.

The team is responsible for driving effective and efficient process, procedure, governance, and compliance, as well as delivering related programs.

The team is tasked with listening and learning (high touch collaboration).

The team is looking for a program manager to support the team through ownership of our Accessibility & Inclusivity PLATFORMs, whilst also providing wider programmatic support across the PLATFORMs team.

Specific to Accessibility & Inclusivity, the role is responsible for being an internal consultant to guide how we create spatial experiences that help all our employees do their best work, and that these experiences and elements are integrated with the design of our workplace environments across our global real estate portfolio.

The role is ultimately responsible for the following:

  • Evolving the Accessibility & Inclusivity PLATFORMs:
    • Iterating on the Accessibility & Inclusivity Design Standards in collaboration with the GWS Workplace Design Services team
    • Staying on top of related accessibility legislation (GLOBAL)
      – in partnership with internal teams and industry subject matter experts
    • Partnering with global GWS teams to drive forwards the identified retrofit remediation works to the built environment
    • Building robust governance across Accessibility and Inclusivity to ensure success against the defined aspirations
    • Partnering with our internal CELA (Community Engagement & Legal Affairs) team to align on wider Microsoft efforts (Accessible Employee Experience) and related reporting
    • Partnering with our internal HR team to align with wider Microsoft efforts (Inclusivity & Diversity)
  • Partner with the wider PLATFORMs team to support best practice across critical global programs
    – Sustainability, Construction Project Management, Integrated Facilities Management, and Critical Partner Contract Management

Key Accessibility & Inclusivity Program Activities:

  • Monitoring the completion of Accessibility & Inclusivity project deliverable checklists at the Regional Workplace Services (RWS) level (RWS: project design responsible persons)
  • Coordination of key collaboration relationships: RE&S Field (Portfolio Managers / RWSs / Regional Subject Matter Champions) / HR / CELA (Microsoft Legal) / Employee Relationship Groups / 3 rd party consultants
  • Ensure Accessible & Inclusive Designs are current and fully inclusive and included within the wider Design Standards.

    Material updates / changes require design, and estimate budget, approval at GWS Leadership level (and in certain instances with HR & Legal internal partners)

  • Effectively communicate any critical updates and expectations
  • Develop training programs for GWS staff and our delivery partners
  • Alignment with the Project Management Platform to aid with related program deliverables, and updates to central documentation
  • Partner with, and leverage, the accessible (disabilities) & inclusivity communities to inform the programs and related designs
  • Through research, and learning, stay ahead of accessibility and inclusivity needs in the workplace

Key PLATFORM Program Management:

  • Supporting the wider PLATFORMs organisation:
    • help with driving program management best practice
      – process, procedure, governance & compliance
    • help with driving consistent collaboration and communication activities
    • help with driving consistent and effective reporting methodologies

Operational Excellence: Manage accessibility compliance for all RE&S tools, trainings, public-facing material, websites, including but not limited to:

  • Define, and maintain, a list of focus areas (inventory), including status of compliance for internal reporting
  • Leverage CELA to clarify requirements and expectations for compliance and reporting
  • Partner with GWS Technology group for related subject matter expertise and support

The Inclusion Program is ultimately responsible for the following:

  • Continued development of the current program, in partnership with HR D&I & CELA
  • The scope of the inclusion program is determined by legislation (target to exceed minimum in country expectations) and overarching guidance from key internal business stakeholders, most notably the previously mentioned legal and HR partners

Management of these critical activities includes:

  • Attendance of existing and future rhythm of business (ROB) with key internal partners
  • Develop and price any new specs/space types, for approval into Design Standards
  • Partner with the RWS team to update central/internal space management tool to reflect any D&I updates
  • Communicate updates to internal stakeholders
  • Build the inclusion program such that it aligns with the work to date for the Accessibility Program

Guiding attributes for the role:

  • Partners across Microsoft with various functional stakeholders and vendors to create guidelines, roadmaps, requirements, and design concepts for construction projects.

    Helps to plan tactics and facilitates complex services.

    Provides design direction for related projects in a region.

    Develops business cases, estimated costs, and identifying potential solutions.

  • Reviews Customer Relationship Management (CRM) to understand customer requests.

    Shares information, drives action across teams, overcomes obstacles by resolving issues, and engages stakeholders to fulfill goals.

    Aligns stakeholders in internal groups (e.g., Human Resources, Legal, Risk).

    Partners with Real Estate and Facilities teams regarding workplace programs, and construction project services.

    Creates and supports relationship and communicates with internal and external stakeholders and clients.

    Identifies an inclusive set of stakeholders.

  • Evaluates business processes and builds improvement and transformation plans to increase efficiency and production via automation.

    Contributes to efficient process updates and the optimization of assets and building systems.

  • Articulate goals to service providers.

    Resolves escalated issues when partnering with a service provider.

    Preparing and documenting deliverables and terms and conditions in line with scope requirement and procurement guidelines.

    Prepares requests for proposals in partnership with other groups and prepare recommendations for awards.

    Monitors supplier feedback and identifies supplier performance trends.


  • Creates project documentation while ensuring compliance with Microsoft policy: privacy and security, ethics, safety codes, and country, state, and city regulations.

    Stays up-to-date with compliance and regulation policies.

Specialty Responsibilities

  • Partners with various team within Workplace Services (e.g., Global Shared Services, Center of Innovation, and Business Operations) to develop new processes, policies, technology, and optimize assets and building systems.

    Shares learnings and updates local client teams to ensure new processes are implemented correctly and support is provided.

    Develops and manages tactical plans in terms of design and delivery of projects.

    Accountable/responsible for adequate change management preparation and delivery

  • Partners with GWS and business group stakeholders to define program requirements (e.g., headcount, supporting spaces, amenities, specialty program, including technology).

    Partners with vendor partners to manage and guide the design process.

    Obtains design buy off from the user group.

    Ensure that the solutioning aligns with our strategy (sustainability, technology, etc.), is highly functional, fiscally responsible and visually represents Microsoft design language.

    Tracks variances from design standards, lessons learned, and updates based on stakeholder feedback

  • Strong program management capabilities
  • Deep understanding of Diversity, Inclusion and Accessibility issues and best practices
  • Ability to effectively collaborate with multiple individuals, and functions, whilst identifying collective needs and reasonably challenging outlying expectations
  • Effective management of complex tactical deliverables
  • Experience managing vendor partners
  • Maintaining existing internal stakeholder relationships
  • Familiarity and comprehension of Design Language and how accessibility and inclusion integrate
  • Understand cultures and align solutions as needed
  • Excellent presentation skills (written and verbal)

Required/Minimum Qualifications

  • Bachelor’s Degree or degree equivalent in Business Administration (BBA), Finance, Engineering, Architecture, Construction/Project Management, Technology, Design, or related field AND 4+ years multinational corporate environment experience
    • OR Master’s Degree or degree equivalent in Business Administration (MBA), Finance, Engineering, Architecture, Construction/Project Management, Technology, Design, or related field AND 2+ years multinational corporate environment experience
    • OR equivalent experience.

Additional or Preferred Qualifications

  • Bachelor’s Degree or degree equivalent in Business Administration (BBA), Finance, Engineering, Architecture, Construction/Project Management, Technology, Design, or related field AND 6+ years multinational corporate environment experience
    • OR Master’s Degree or degree equivalent in Business Administration (MBA), Finance, Engineering, Architecture, Construction/Project Management, Technology, Design, or related field AND 4+ years multinational corporate environment experience
    • OR equivalent experience.
  • 5+ years’ experience in corporate real estate positions preferred
  • Demonstrable experience and understanding physical space and design
  • Experience forecasting and managing budgets
  • Experience writing vendor Scopes of Works, and managing related work
